The FelloWorship Coordinator is responsible for the smooth running of the Sunday Gathering.

Ensure ventilation upstairs and downstairs are switched on
Open both front doors
If required, spray entrance and hallway with insect spray
Ensure table with communion with cover, offering box is setup
Setup blue communion bucket setup at chapel exit on stool
Ensure fire exit doors are closed at all times
Ensure balcony door is closed prior to start
FELLOWORSHIP COORDINATOR
Liaise with all rostered servants on Friday to confirm availability
Coordinate with external speaker if required, prior to Sunday
8:45 Arrival
Review roster, check if rostered servants are present, arrange for substitute if servants are not present by 9 am.
Meet & Greet Pastor and/or speakers + Introduce visiting speakers
AV TEAM
SOUND DESK/CAMERA
Setup and perform audio/video test before Sunday Gathering (Saturday night). If this is not completed prior to Sunday, arrive at 8:15am instead of 8:45am. Liaise with Music team to help with setup on their practice date.
8:45 Arrival
Place music and mic stands in position.
Setup and test 4 wireless mics
Setup and test Keyboard and electric drums
Setup and test TVs and rear projector
Setup and test Sound system
Set up inputs and outputs to ATEM (Input: cam1, input: cam2, input: slides macbook , output: zoom)
Cameras setup (cam 1 and cam 2), connected and tested - ensure ZV-1 is wide view and ZV-E10 is closeup to singer/speaker
Liaise with speaker/s for AV and tech requirements for their presentation, and if they require Rode lapel mic or hands free microphone
Check and test connection to speaker’s laptop or tablet
Check and balance band sound in chapel - need to go outside room to listen
PACK UP
11:00 Equipment is packed in their proper place
ATEM mini and cables in box in Office 3
Clicker and adapter in black backpack in Office 3 (PTH?)
*PTH Gathering to ensure that both cameras and Rode mic are charging
SLIDES PREPARER/OPERATOR
Slides to be prepared by Friday
8:30 Arrival
Setup slides macbook
Liaise with teams to confirm running order and modify slides to accommodate last minute requests
Perform a test run through the presentation slides, any embedded videos (test the sound) or special requests
YOUTUBE OPERATOR
8:45 Arrival
Setup YouTube. Make sure recording is on
Liaise with the Sound team and check the setup end to end by joining the meeting on another device and checking the video and audio feeds
After the gathering, ensure that the YouTube livestream is stopped
MUSIC TEAM
The songs to be used are to be confirmed by Friday and the Slide Preparer is to be notified
8:45 Arrival
Remove Podium and small centre table covers
Remove piano and drum covers, irrespective of whether or not they are used that day
Worship Leader to check if lyrics and sequencing on ProPresenter is correct
Contingency - do communion first if there's technical difficulties (if plans are running late)
9:15 STOP rehearsing, gather in balcony room for prayer
9:25 Start prelude (Person playing to be notified when it's time to stop)
9:30 START Worship

Equipment put back in their proper place
WELCOMING TEAM
9:00 Arrival
Ensure 3 back rows are roped off and signs placed on seats (elderly, disabled, parents with children and pregnant)
Usher people fill front seats first and sit at the furthest end of the row so those coming later have seats.
Record attendance in Elvanto - both in person and via zoom
Welcome guest speakers, request if guest would like any beverage, usher to seat
First-time guests sign-in QR code is visible at entrance
During closing response song, stand near the staircase leading to the basement and direct everyone to morning tea downstairs in the large hall.
PRESIDENT
9:00 Arrival
Confirm with song leader the last verse of song prior to communion segment
9:15 Gather all servants to the balcony room to pray
Communion Reflection (3 mins)
Prayer (3-4 mins)
Contingency - do communion first if there's technical difficulties (if plans are running late)
MORNING TEA TEAM
8:45 Arrival
If food is brought in, please indicate allergens i.e., nuts, gluten, lactose, vegan etc.
1 person; preps morning tea
2 people; lay out 5 x tables & 6 x chairs per table
Place signs on tables
Ventilation and fans setup
Set up tea, coffee, food, cups, sugar etc, boil water
After the sermon and before the final song, go to Kitchen start with serving for morning tea
Refer to instructions in kitchen
If food is required to be heated, go down to kitchen earlier
Boil extra hot water
Clean up is completed
KIDZONE TEAM
9:00 Arrival
KidZone servants are present and preparing
KidZOne rooms for Nursery and K-6 are setup by KidZOne team
Set up Technology
Organise refreshments / condiments
BIBLE READER
9:00 Arrival
Confirm with Slides Operator if the Bible passage is present, along with version
Sit in front row with President and Speaker
IN THE EVENT OF BAPTISM
Ensure baptistry cover is moved to expose baptistry
Lay towels from baptistry to balcony and back room
Fill baptistry with hot water first - need to be warm
Ensure covid safe requirements are followed [link to document]
Setup baptistry camera on the right hand side, and front view
1 x person move the pulpit and mic out of the way after testimony
1 x person holding towels and helping baptisee out of baptistry
1 x person mop up
1 x same person return pulpit and mic
1 x person take home towels to wash
Presentation of certificate and gifts followed by photoshoot
